1108 - ..
1109 - Summary/Objective
1110 -
111001 - Demoed SDS and looked briefly at Viewpoint. Gave Bill the POIMS
111002 - article and some less detailed explanation of SDS methodology, ref OF
111003 - 1 and 2.
111004 -
111005 - Bill will develop some comments on how SDS might be applied at his
111006 - shop.
111007 -
111008 -
1111 -
1112 -
1113 - Demonstration & Discussion
1114 -
111401 - I gave Bill a brief overview of SDS screens and the subject index.
111402 -
111403 - Bill asked about how SDS "links" what we do today with what needs to
111404 - be done in the future?
111405 -
111406 - I showed how scheduled tasks are linked to their antecedents, and
111407 - how those are linked to other prior related events. Demonstrated
111408 - how links are created instantly using the SDS unique feature of
111409 - integrating "scheduling" and "reporting."
111410 -
111411 -
111412 - He is looking for a tool to perform graphical analysis at a summary
111413 - level, like the demo for the Viewpoint program he brought over today.
111414 -
111415 - SDS uses language rather than flow charts because that is the weak
111416 - link in the management process. The distinction is apparent from
111417 - the routine of daily business life. When someone asks a question,
111418 - the respondent speaks rather than draws a graph. Occasionally, a
111419 -     graph is cited, or even drawn as part of management communication;
111420 - however the critical issues for management are:
111421 -
111422 - What was said, what was meant, what documentation applies,
111423 - what are the implications relative to objectives, how does it
111424 - relate to prior events and ideas, what needs to be done as a
111425 - result? This is thinking, planning, remembering; and it
111426 - requires a structured data base for language.
111427 -
111428 - This is the world of SDS:
111429 -
111430 - Capturing the record, analysing it, scheduling follow up and
111431 - checking to verify understanding before taking precipitous
111432 - action. This creates links that enable us to quickly discover
111433 - the cause of action much later when we are trying to recover
111434 - sums or avoid liability.
111435 -
111436 -
111437 - MS Windows and OS/2 v 2.0 provide a multi-tasking environment to
111438 - integrate the strengths of graphical analysis with traditional
111439 - narrative. Managers need both, but since business is conducted by
111440 - language, SDS is a valuable advance in management productivity.

231202 - Communication Manager Invests Time to Capture Record
231203 -
231204 - Bill seemed to feel SDS could be helpful, however, he is putting in 10
231205 - to 12 hour days in meetings, calls and sending reports. He does not
231206 - want to increase the amount of time he spends on the computer doing
231207 - "data entry" for paperwork. Bill wants to avoid more printed reports.
231208 - He explained the need to "expedite" and offered that using SDS would
231209 - take longer to get things done.
231210 -
231211 - [See discussion on 970611 ref SDS 7 line 104.]
231212 -
231213 - [On 990602 Bill reviewed Communication Metrics on the Internet.
231214 - ref SDS 8 0001]
231215 -
231216 - SDS enables managers to "manage" the writing they are already doing
231217 - so it can be retrieved when needed instantly on-line. Presently,
231218 - despite great cost and efforts to accomplish this objective,
231219 - managers still rely mainly on personal recall, and this causes a
231220 - lot of mistakes which are avoided with SDS.
231221 -
231222 - Printed reports are generated quickly and professionally in SDS,
231223 - typically for external communication only. This saves a lot of
231224 - time and cost of generating and distributing printed media.
231225 -
231226 -
231227 - He was concerned about the line numbers in SDS records, indicating
231228 - they appear confusing.
231229 -
231230 - I explained that the line numbers improve a managers control and
231231 - access to information. Within a day or so they look "normal," but
231232 - continue to improve productivity.
231233 -
231234 - [On 970425 line numbers support "knowledge space" ref SDS 6 2222]
231235 -
231236 - Bill liked the integration of SDS with other programs, like Lotus.
231237 -
231238 - We did not have to time to demonstrate the doc log, the contacts
231239 - system and directory support.

2316 -
231601 - Bill took the POIMS article for PMI and a summary overview of POIMS
231602 - and SDS. I also gave him the report from Mike Sims on his use of SDS
231603 - to manage the Broadwater Power Plant.
231604 -
231605 - I would like his views on the applicability of POIMS technology to his
231606 - project work.
